What business numbers should I actually be tracking?

Most business owners are either tracking nothing, or drowning in a dashboard of numbers that don't change a single decision. The truth is you only need a few numbers that actually matter. Here's how to find yours.

Start with the one number that tells the story

Before you build a fancy scorecard, find the single number that, if it's healthy, means the business is healthy. For a lot of businesses it's cash in the bank, or weekly revenue. As one of our clients said about his team, he doesn't care how many patients they see, as long as the revenue number gets hit, because that number tells the whole story. A busy, well-run business shows up in that figure. Start there.

Then add the handful that drive it

Once you've got your headline number, add the few that drive it. Depending on your business that might be your average sale, your booking or utilisation rate, your gross margin, or your wage cost as a percentage of revenue. Not twenty metrics. Three or four that you'd actually act on.

The number that catches people out: are your people actually profitable?

Here's one owners often miss. It's easy to look busy and still not be making money. We've sat with owners who did the sums on an individual team member and realised that person wasn't turning any profit at all once their wage was covered. That's not about being harsh, it's about knowing. You can't fix what you can't see, and a KPI that shows you the profit each person or service generates is one of the most powerful numbers you'll ever look at.

Know your break-even, even if it's confronting

One of the most valuable, and most confronting, exercises is working out exactly what you need to turn over just to break even. Owners are often shocked when they see it. But that number is freedom, because once you know it, every decision gets clearer. You know what "enough" looks like, and you know when you're below it before it becomes a crisis.

The point of the numbers

KPIs aren't about spreadsheets. They're about being able to make confident decisions and, eventually, hand targets to your team so you're not the only one watching. The right few numbers turn running your business from a guess into a game you can actually play. That's what we help owners set up. If you're not sure which numbers should be on your scorecard, that's a great conversation to have.
